1. About these terms
These terms cover Venue True and Advance True: tools for managing venues, diaries, show information and collaboration. “We” means the operator identified on this page. “You” means the person using the service or the organisation they are authorised to represent. By creating an account and accepting these terms, you agree to use the service on this basis.
The service is designed for venues, artists, promoters, agents and touring professionals. It does not sell admission tickets, employ performers or act as the booking agent for a show. Agreements between venues, artists and promoters remain their own agreements.
2. Accounts and authority
Provide accurate account details, keep your login secure and tell us about suspected unauthorised access. Only claim a venue or artist profile, manage a show or invite another person if you have authority to do so. Finding an existing directory entry does not give you ownership of it. We may ask for evidence before approving access.
You are responsible for actions taken through your account where you have authorised them or failed to take reasonable care of your login. This does not remove our responsibility for the security measures within our control.
3. Free and Premium features
Basic profiles, guided technical specifications, diaries and basic advancing are free. Premium features include PRS returns, costing and settlement sheets, and calendar sharing. Features still being developed, including automatic ticket-count integrations, are identified as planned rather than currently available.
The intended Premium price is £30 per month per venue, covering all its rooms, with VAT added where applicable. An eligible introductory code offers £15 per month for the first 12 months of a paid subscription, then £30 per month, plus applicable VAT. Checking a code does not start a subscription, take a payment or reserve an offer indefinitely.
Paid checkout is not currently enabled. Stripe is the intended payment provider. Before subscriptions open, checkout will set out the applicable price, tax, billing cycle, discount eligibility, renewal, cancellation and refund arrangements. No payment obligation arises solely from creating a free account or viewing an offer.
If Premium access ends, the basic account remains available. Premium tools and shared availability links may stop working. Existing records are not automatically deleted solely because a venue returns to the free tier; retention and deletion remain subject to the Privacy policy.
4. Diaries, pencils and shared availability
A pencil is a provisional diary entry. A request through a shared calendar does not reserve a date. Venue approval creates a pencil, not a confirmed event. A confirmation in the diary is an operational record; it does not replace contracts, deposits or the checks the parties need to make.
Calendar availability follows the venue’s chosen rules. Blocking currently applies to an entire room/date, not to timed slots or changeovers. Check load-in, doors, curfew, capacity and turnaround directly with the venue.
Anyone who receives a calendar link may forward it. A password adds protection but does not prove the recipient’s identity. Choose sharing settings carefully and revoke links when no longer needed. Changing a link cannot recall copies or screenshots already made by recipients.
5. Your content and collaborators
You retain your rights in the material you upload. You give us the limited permission needed to store, process, format and display it to provide the service and make the sharing you request. This does not transfer ownership of your songs, riders, photographs or other work to us.
Only upload content you are authorised to use and personal information you have a lawful reason to share. Tell contacts how their information is being used. Share only what a show needs, especially where riders contain medical, dietary or other sensitive information.
Invited show participants can see the documents and information shared with that show. Venue finance tools and private specification contacts have separate access restrictions. Removing access does not delete copies another participant has already downloaded.
6. Accuracy, imports and financial outputs
Check imported dates, public doors times, booking statuses and spreadsheet changes before applying them. A section marked “checked” in a venue specification means it has been checked by that venue’s team; it is not independent certification of safety, accessibility or capacity.
Ticket figures depend on the information supplied. Costing and settlement sheets are working tools, not accounting advice or proof that another party has agreed to pay an amount. Keep supporting records and review calculations before relying on them.
PRS calculations and return packs are drafts based on the information entered and the tariff edition supported by the service. The venue remains responsible for checking its licence, repertoire, receipts, deadlines and return requirements. Generating a pack does not submit it to PRS or establish that payment or reporting obligations have been met.
7. Acceptable use
Do not impersonate another person, access information without permission, upload malware, send abusive or unlawful material, or interfere with the service. Do not collect contact information from the service for unsolicited marketing. Respect copyright, confidentiality and other users’ access choices.
We may restrict access or remove material where reasonably necessary to protect users, investigate misuse, comply with law or maintain the service. Where appropriate, we will explain the issue and offer a way to challenge a decision. Urgent security action may need to happen first.
8. Availability and responsibility
We aim to provide the service with reasonable care and skill. Maintenance, faults and third-party services may affect availability. Keep your own copies of business-critical show information and do not rely on the platform as the sole channel for an urgent instruction.
We are responsible for losses caused by our failure to exercise reasonable care where the law requires us to be. We are not responsible for another user’s independent acts, inaccurate information supplied by third parties or losses we could not reasonably foresee. Nothing in these terms excludes or limits liability for fraud, death or personal injury caused by negligence, or any responsibility or right that cannot lawfully be excluded.
9. Closing an account and resolving problems
Contact the operator identified on this page to request account closure, raise a concern or discuss access to your records. Shared venue records, third-party information and records needed for legal obligations or disputes may require separate handling, as explained in the Privacy policy. Any future paid subscription will have its own clearly stated cancellation process.
We will try to resolve complaints directly. These terms do not remove mandatory legal rights, including consumer rights where they apply. Governing-law and jurisdiction wording is awaiting confirmation of the operator’s place of establishment.
10. Changes
The version date identifies the wording you are reading. We may update these terms as the service changes. Material changes affecting an existing agreement will be brought to account holders’ attention rather than applied silently to past purchases. Paid terms will be presented before checkout becomes available.
